What exactly we automate
Four things. Each can be deployed on its own, and each starts from the same question: what does the same person in your firm do every month, with the same movements?
Document flow and KSeF
Invoices arrive by mail, as PDFs, sometimes as a photo from a phone. Someone has to download, rename and file each one, then retype the data. That step can be taken off people: the document moves from the inbox into your software on its own, the data is read and checked, and only what needs a decision comes back to a human — an unreadable scan, a missing tax number, an amount that does not add up.
In practice
- attachments collected from mail and the shared drive without manual downloading,
- invoice data read and checked against the register,
- a single queue of exceptions instead of hunting for errors across the whole month,
- documents prepared for KSeF and JPK inside the software you already use.
Answers for clients and reminders
“Did you get my invoices?”, “how much do I owe?”, “when is the deadline?” — the same questions come back every month to the same people. An assistant answers them on its own: on the website, in Telegram or by mail. Missing documents are chased before the deadline, not after it.
In practice
- answers to repeat questions about status, amounts and deadlines,
- reminders about missing documents sent automatically,
- handover to a human the moment a question leaves the routine,
- every conversation recorded where you already work — a spreadsheet, mail or your system.
Integrations
We do not talk you into replacing your programs. We connect the ones already running so data moves between them without a person in the middle. If a program has an API or a data export, we can connect to it — for example Comarch ERP Optima, SaldeoSMART, wFirma, Shoper, WooCommerce, Allegro, Base (formerly BaseLinker), Booksy, Google Sheets, mail and the shared drive.
Software built to order
When no off-the-shelf tool fits the process, we write our own — a panel, an application or a service that does exactly what is missing. We have written eight such projects from scratch; four of them run as online services and two can be opened without an account.
What we don't do
Call
The shortest route to knowing whether there is anything to automate in your firm is twenty minutes about what one month of work actually looks like.
No form, no strings.
